What exactly is a « message »?

Each message sent by your client and each reply from the agent counts as one message. An average conversation uses about 6 messages, so roughly 166 conversations a month on a plan with 1,000 messages.

The chatbot detects your client's language automatically and answers accordingly — French, German, English, Italian. Nothing for you to configure.

Yes — the Synthcraft voice agent answers your calls 24/7 on a dedicated phone number, with a natural voice. It informs your clients, books appointments and passes every request on to you. It's a separate product from the chatbot: take one, the other, or both.

Can the voice agent book appointments over the phone?

Accepted Answer

Yes. During the call it checks your calendar's availability, offers a slot, confirms the appointment and sends a confirmation SMS to the client. If several practitioners work with you, it asks who the appointment is with, exactly like the chatbot.

What is a « call minute » and what happens at the limit?

Each plan includes a quota of call minutes per month (600 for Starter, 1,500 for Growth, 4,000 for Agency). You're warned before you reach the limit; beyond it, you top up minutes in one click from the dashboard (+250 min from CHF 59) and the agent keeps answering.

Are confirmation SMS included with the voice agent?

Yes. Each plan includes 300 SMS per month on Starter, 700 on Growth and 2,000 on Agency. It's a single counter shared by all your channels: an appointment booked by phone, by the chatbot or by the booking widget draws on the same pool (count two SMS per appointment if you also enable the reminder). Beyond that, you top up from CHF 24 for 200 SMS, billed at cost.

Does the voice agent speak German and Italian?

For now the voice agent answers in French. German and Italian are coming, and current subscribers will get them first. The chatbot already handles French, German, Italian and English.

Do I have to change my phone number for the voice agent?

Accepted Answer

No, you keep your current number. We put a dedicated number into service that the agent picks up, then you set up call forwarding from your usual line to that number (always, or only when you don't answer). Your clients keep calling the number they know; the agent answers behind it. You can turn the forwarding off at any time and take the calls yourself again.

How do I activate the voice agent, step by step?

1) Dashboard → Settings → Voice agent: set the language and the hours, then « Activate the voice agent ». 2) We put your Swiss number into service and send it to you. 3) Paste it into « Connect the number » — it's linked to your agent automatically. 4) Forward your existing line to that number, when you decide. That's it. We personally guide our first clients through these steps.

Is there any paperwork for me to get the number?

None. Swiss regulation requires a verified address to hold a local number: that compliance is on our side, not yours. We put the line into service, and you have no operator account to open, no documents to provide and no third-party contract to sign.

Does the phone number cost extra on top of the subscription?

Accepted Answer

No. The dedicated Swiss number, its monthly rental and the calls it receives are included in your plan: a single bill, ours, for an amount that doesn't move. You'll never get an operator's invoice. The only counter is the included agent minutes (600 a month on Starter); if you go over, you're warned first and you top up in one click from the dashboard — nothing is added to your bill without your agreement.

I manage several locations (agency) — how do I set up their phones?

From « My clients », open a client's file: there you activate their voice agent and connect their number directly, without switching accounts. Each location has its own number, its own calendar and its own knowledge base.

Do I need a developer to install the widget?

Accepted Answer

No. A single line of code to paste on your site — compatible with WordPress, Wix, Squarespace and most platforms. As part of our launch in French-speaking Switzerland, I personally guide the first partner clients through installation and setup.

How do I train the agent on my business?

Accepted Answer

Upload a PDF or a Word document, or add your website's URL from the dashboard. The agent reads your content, cites your sources in its answers and is operational straight away — the same knowledge base feeds the chatbot and the voice agent.

What happens if the agent can't answer?

Accepted Answer

The agent never guesses. Faced with a sensitive or complex question, or one outside its scope, it collects the visitor's contact details, tells them someone will get back to them shortly, and sends you an email notification straight away. No client is left without an answer, and you follow up at the right moment.

And if the voice agent doesn't catch the client's number?

On a real call, the caller's number is identified automatically. If information is missing or the request falls outside its scope, the agent marks the call as « to call back » and sends you an email with the recording and the summary, so you can call at the right moment.

The agent pauses and you get a notification. You top up credit in one click from the dashboard (from CHF 59 for 500 messages), and the bot picks straight back up. An alert warns you before you reach the limit.

Is the 14-day trial really commitment-free?

Yes. Nothing is charged during the 14 days. If you cancel before the end of the trial period, you pay nothing. You can cancel your subscription at any time from the dashboard.

Is my data — and my clients' — protected?

The database and the application are hosted in the European Union (Frankfurt). To deliver the service, some data passes through specialised processors — AI model, telephony, transcription, email — sometimes outside Europe: those transfers are covered by standard contractual clauses (SCC/DPF) and a processing agreement with each provider. Your conversations and calls are never sold and never used for anything else. Payments are handled by Stripe (PCI-DSS certified). The detail is in our privacy policy.

What's the difference between Starter, Growth and Agency?

Starter (CHF 290): for a single business, ideal if you run your own practice. Growth (CHF 690): up to 3 locations, suited to practices with several sites or freelancers starting out. Agency (CHF 1,490): up to 10 locations or clients managed from a single dashboard, with message and minute quotas shared between them. Each plan exists for the chatbot and for the voice agent.

Yes — the Booking module is a scheduling widget embedded in your site with a single line of code. Your clients book themselves: service, practitioner, slot, contact details, confirmation. Multi-service and multi-practitioner, synced to your calendar. It's an independent product: take it alone, or with the chatbot and the voice agent.

What's the difference between the booking widget and booking through the chatbot or voice agent?

The chatbot and the voice agent book appointments in conversation, in writing or out loud. The booking widget is a dedicated interface the client fills in themselves, without a discussion. Appointments from all three channels land in the same calendar and the same lead log.

You add a profile per practitioner from the dashboard. When a client asks for an appointment, the agent automatically asks: « Who would you like the appointment with? » — then checks the right person's calendar, showing only their availability. It works on the phone as it does on the website.

Technically yes: the WhatsApp Business integration works end to end and the agent answers there with the same knowledge base as on your site. We haven't opened it to everyone yet, because going live depends on a business verification with Meta that isn't ours to control. If WhatsApp matters to you, tell us: we'll tell you straight where we stand. We don't promise Instagram or Telegram — they aren't built.

For practices working on renewable prescriptions: physiotherapy, occupational therapy, speech therapy, podiatry. The principle is the same everywhere: a course of sessions comes to an end, the patient needs following up and the doctor needs asking — and that's the link that gets lost.

How does it work in practice?

You open the course when the prescription arrives and tick off the sessions as they happen. At the session you've chosen (the 7th by default), a questionnaire goes to the patient by SMS, WhatsApp or email. They answer, they give their written consent, and the renewal request is waiting for you, drafted. Nothing goes to the doctor without your click.

What does the doctor see, and what happens to the patient's answers?

The letter to the doctor contains the number of sessions completed, nothing else: what the patient wrote is never passed on. The exact wording of the consent the patient accepted is timestamped and kept, not just a ticked box (revFADP art. 5, professional secrecy SCC art. 321). Each questionnaire has a single-use, time-limited link on a page that isn't indexed.

Do you only do AI agents?

No. An agent that answers is just one automation among others — it's simply the one we made ready to use first. The rest of what we build doesn't talk: a form that writes into your CRM, an invoice generated and sent, a weekly report as a PDF, a post published across your channels, a review request sent after the work is done.

Do I have to change tools?

No, quite the opposite. We start from what you already use — your form, your calendar, your invoicing tool — and wire the automation onto it. You have no data to move and no software to give up.

From your dashboard: pick a tier, then connect your mailbox with your address and an app password — three minutes, nothing to install. The first sort runs on the next pass and the first summary arrives the following morning. 14 days' trial, no commitment. We ran it on our own mailboxes before selling it: a mailbox is not a place to discover your bugs at a client's expense.

Three tiers by mail volume: CHF 49 a month for 1,500 messages sorted and 200 replies drafted, up to CHF 89 for 10,000 messages and 1,200 drafts. The number of mailboxes isn't limited: what counts is the volume, not the number of addresses.

No, and that isn't a technical limit: it's the principle. It puts its replies in your own Drafts folder, under the right conversation. You review, correct if needed, send. Nothing leaves your mailbox without your hand on it.

What do I have to install, and what do you see of my messages?

Nothing to install: you keep your address and your current mailbox, and you give us an app password — encrypted on our side, never shown again, revocable at your end in one click. We don't keep the content of your messages: only the headers (sender, subject, date) and the tier assigned. The drafts live at your host, not with us.
